JEFFERSON HILLS MOTEL TERMS AND CONDITIONS

INTRODUCTION AND GENERAL PROVISIONS

Your reservation and the accommodation agreement made with Jefferson Hills Motel (whether made by you directly with JHM or via a third party such as a travel agent) will be subject to these Reservation Terms and Conditions and the Reservation Privacy Policy set out below.

When you make your reservation, whether online or by telephone, you will be deemed to have read, understood and accepted these Reservation Terms and Conditions and the Reservation Privacy Policy.

If you make your reservation via a booking agent, or other third party, then you have a separate legal relationship with that party and Jefferson Hills Motel has no liability for any acts or omissions of such party including their observance of your data protection rights.

When you make your reservation, you will be also deemed to have read, understood and accepted the terms and conditions for using the JHM website (which means www.jeffersonhillsmotel.com or any related JHM web pages accessible from it) and any relevant terms and conditions shall be deemed to be incorporated into your reservation and the accommodation agreement with the motel. RESERVATIONS PROCEDURE AND POLICIES

 

1. Age & Required Documentation

Minimum age is 18 for all reservations and accommodations and any minors must be accompanied by and adult over 18 years of age. At check-in the primary guest for each accommodation must provide an ID and valid credit card. While the bill may be paid in cash a Credit Card must be on file for any fees/damages.

2. Online and Phone Reservations

The JHM website and telephone number enables you to check the accommodation offerings and availability of the Jefferson Hills Motel (and related products and services), and then submit an online or telephone reservation request. A deposit of a portion or all of your invoice total may be required to complete your reservation. On completion of the reservation process, Jefferson Hills Motel will transmit an online, voice or email confirmation of your reservation. A reservation is only valid when a reservation number has been issued. Relevant details relating to products and services may be booked but must be confirmed by you directly with the Jefferson Hills Motel at check-in, for example, pet fees or late check-out.

3. Payment

It will be necessary for you to provide credit card details to secure a room, product or service reservation. The credit card may then be used by the Jefferson Hills Motel for payment of a deposit as advised at the time of booking or as a guarantee for a future payment, in the case of a no-show, a cancellation or change to the reservation.

4. Cancellations and Amendments

You should make any cancellations or amendments to your reservation using the same Booking agent through which you booked, either online or by telephone. The cancellations and amendments policy that applies to your reservation will depend on the terms you agreed to at the time of booking. For all rooms (Except non-refundable reservations for the Hot Tub Suite) If you cancel 24 hours before your check in you will receive a 100% refund. The Hot Tub suite cannot be canceled or modified and is non-refundable.

5. Rate/Reservation Validity

Reservation confirmations are provided to you solely for your convenience. Jefferson Hills Motel retains official records of reservation transactions, including details of dates of stay and room, product and service rates. In the event of discrepancies, alterations, modifications, or variations between this confirmation and our official records, Jefferson Hills Motel’s official records shall prevail. Tampering with this confirmation to alter any room, product or service rate or any other reservation information is strictly prohibited.

6. Early Departure

Jefferson Hills Motel does not have early departure penalty fee or a minimum stay requirement. You may change your check out date without a penalty.

7. Currency

Reservations will be charged in the hotel’s local currency as shown on the JHM website or given over the telephone at the time of booking. The price shown is based on today’s exchange rate. Any currency conversion is for guidance only. A foreign currency transaction may be charged by your card provider. Any deposits or pre-payments will be deducted from the final reservation invoice in the hotel’s local currency. A refund of a deposit or prepayment, if any, will be subject to the exchange rate applied by your payment card provider at the time of any such refund and may differ from the exchange rate applied at the time such deposit or prepayment was made.

8. Pre-paid Reservations

Some rate plans (The Hot Tub Suite) require prepayment in full and are non-cancellable, non-refundable, non-changeable and non-transferable. This will be identified in the rate description. For these rate plans, once you make a reservation your credit card will be charged for the full amount. Credit will not be given for any unused reservation and the amount paid by you for such reservation cannot be used toward any other/future reservation.

9. Guarantee Rules

For reservations guaranteed with a credit card at the time of making your reservation, rooms are held until 11am, the check-out time on the day following the day of arrival. The Motel may authorize the room, product or service rate prior to arrival and reserve funds, including taxes, on the credit card to determine the validity of the credit card. Rooms, products or services booked with an invalid credit card are subject to immediate cancellation.

10. Special Requests

Jefferson Hills Motel will strive to honor any request for specific room types or bed types and will confirm such arrangements at the time you make your reservation. Until specific confirmation is issued then your request cannot be guaranteed.

11. Guest Behavior

It is agreed that the guest will conduct him/herself in a respectable manner and will not cause any nuisance or annoyance within the hotel premise. The Motel's management reserves the right to refuse service or require a guest to leave without refund if he/she is visibly intoxicated, causing a disturbance, annoying other guests or motel staff or is behaving in an unacceptable manner.

12. Smoking Policy

Smoking is only allowed outside the rooms and in the rooms labeled and sold as smoking rooms. Smoking both tobacco and marijuana products is prohibited in all non/smoking rooms and in all public enclosed spaces within the motel. If a smoking violation occurs in a room, the guest will be charged a $250 non-refundable cleaning fee. Cigarette receptacles are placed in all the walkways outside room doors, please use them. We appreciate your cooperation in ensuring our non-smoking guests enjoy their stay.

13. Guest Valuables

The Motel management will not in any way whatsoever be responsible for any loss/damage to the guests belongings or any other personal property from in a guest room or any other part of the motel property for any cause whatsoever including theft. Guests are particularly requested to lock the door of their rooms when going out or going to bed. While we do save and attempt to contact guests about any personal property left in rooms after check-out, however we will not be responsible and or store lost or left behind behind in the guest rooms.

14. Housekeeping Service

Guest rooms accommodating same guests continuously for two or more nights shall not be cleaned during their period of stay. Such rooms, however, shall be cleaned once in seven days to maintain cleanliness. Further, if cleaning of one or more of the guest rooms is deemed necessary by the hotel authorities, the guests occupying the room(s) shall not have a right to deny such room cleaning. Our staff will provide consumables, garbage removal and fresh towels daily to all rooms and fully clean rooms upon request.

15. Pets

Documented service animals are welcome at no charge. Non-service pets including Therapy & ESA animals are welcome for an additional charge of $20.00 per night. There is a limit of two pets per room and all pets must be declared at check-in. Animals that pose a health or safety risk may not remain onsite and include those that, in our managers' discretion, are too numerous for any one room, cause damage to our property or that of other guests, are too disruptive, are not properly attended or demonstrate undue aggression.

  • All Pets must be declared at check-in.

  • We generally do not allow cats due to damage from litter, scratching and spraying.

  • No more than two pets per room, with a max weight of 80 lbs. or less. A “Pet” is defined as a domesticated dog.

  • Documented animals that assist the disabled, known as “Service Animals” as defined by the ADA, are always welcome.

  • When outside the guest room pets must either be restrained, on a leash, or in a travel carrier.

  • Animals should never be left alone in a room or automobile and must be attended to at all times.

  • At the sole discretion of property management, any pets that are disruptive, pose any health or safety risk, cause damage to our property or that of other guests, are not properly attended, or demonstrate undue aggression, may not remain on motel premises.

  • Both owner-guest and pet/service animal must be out of the room in order for housekeeping to service the room.

  • Owner assumes all liability for their pet, including but not limited to additional cleaning or repair that may be incurred due to waste and/or damage, pet injury, illness, or loss.

  • Guests may make requests for pets outside of these policies (pets other than dogs/multiple pets) and management will make decisions on a case by case basis.

    16. Hot Tub Suite Rules

Our Hot Tub Suite provides a unique experience with a private in-room hot tub in a large secluded Suite on the property. Due to the danger of having an open body of water in this room, absolutely no children or pets are allowed in this suite. The Hot Tub is designed for 2 people to lay down in and any more will overflow it so a strict 2 adult max occupancy for the room is always enforced. Any day time visitors to the suite must check in with the office staff before entering the room and no visitors are permitted at night. This suite is NON-SMOKING and tobacco and marijuana product are prohibited from use in the suite and stairwell leading to the room. Smoking penalties are strictly enforced. After each guest the Hot Tub is completely drained, sanitized and refilled with fresh water and chemicals and set to 102 degrees. Guests can change the temperature and request that we do not add chlorine if preferred. In order to keep the hot tub in good condition for yours and the next guests stays please follow the following rules for the Hot Tub:

Please shower before entering the Hot Tub
Do NOT add any soaps, bubbles, crystals, salts or bath bombs to the Tub Water
Do NOT spread flower petals or confetti around the room, it will end up in the pumps!
Do NOT allow any clothing, towels or items that might damage the pumps in the hot tub
Do NOT burn live candles or incense in the room

Please watch your step on the steps and tile when wet and exiting the hot tub and enjoy your stay!

17. Guest’s obligations

You agree to the terms and conditions of purchase imposed Jefferson Hills Motel. You also agree that you are fully responsible and shall pay for all charges, fees, duties, taxes, assessments and other amounts arising out of your reservation when due, including additional taxes and fees that may not be included in the quoted rate.

You understand that any violation of Jefferson Hills Motel’s conditions may result in cancellation of your reservation and you forfeiting any monies paid for such reservation and an Jefferson Hills Motel debiting your account for any costs it incurs as a result of such violation.

18. Privacy and data protection

Our Reservation Privacy Policy (set out below) will apply to your reservation and forms part of these Reservation Terms and Conditions.

19. Force Majeure

The Jefferson Hills Motel will not be liable for any change or cancellation of any reservation that is caused, in whole or in part, by events, occurrences, or causes beyond the control of the Jefferson Hills Motel. Such events, occurrences, or causes include, without limitation, acts of God, alien invasion, terrorist activities, weather, strikes, lockouts, riots, acts of war, earthquake, volcanic activity, ash clouds, tsunamis, zombie apocalypse, fire and explosions.

PART 2: RESERVATION PRIVACY POLICY

As a motel operator, it is necessary for Jefferson Hills Motel to collect and store Personal Information in connection with the delivery of lodging and related services. Although we endeavor to collect only that information that is relevant, we also must comply with many laws that require hotel operators to collect and retain Personal Information.


The personal data Jefferson Hills Motel collects:

In order to complete your reservation and arrange its fulfillment JHM needs to collect the following personal data as part of the reservation process:

your first and last name;

your email address;

your country of residence

details of your payment card including card number, name, expiry date and CVV number.

your postal address (home or business);

preferred contact telephone number.


 

We use a limited number of third parties to help us respond to your requests and provide services such as processing payments, monitoring online activity at jeffersonhillsmotel.com (“Site”), communicating with you about your stay, conducting customer satisfaction surveys, maintaining our database, taking and processing employment and business partner applications, taking and processing orders and reservations and administering emails. Third-Parties also provide us with aggregate and comparative information on the performance of our Site.

 

Other than as described above, we will not sell, trade, or rent Personal Information to non-affiliates of Jefferson Hills Motel.
